Privacy Policy

Orbit Group ("Orbit Group," "we," "us," or "our") builds and deploys AI systems and runs workshops for companies and professionals. This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices and rights you have. It applies to our website at orbitgroup.io and to lead forms we run through advertising platforms such as Facebook and Instagram.

By submitting your information to us — through our website contact form or through a lead form in one of our ads — you agree to the practices described in this policy.

1. Who we are

Orbit Group is the data controller responsible for your personal information. If you have any questions about this policy or your data, contact us at Alex@orbitgroup.io.

2. Information we collect

Information you give us directly

When you complete our contact form or an ad lead form, we collect:

  • your name;
  • your email address;
  • your phone number;
  • any message or project details you choose to share (for example, what you're trying to build); and
  • the services you're interested in (such as an audit, implementation, or a workshop).

Information collected automatically

When you visit orbitgroup.io, our hosting and analytics providers automatically collect limited technical information — such as your approximate region, browser and device type, pages viewed, and performance data — in aggregate form. Our website analytics are privacy-friendly and do not use tracking cookies to identify you. We also store a single preference in your browser's local storage to remember your light/dark theme choice; this is functional only and is not used for tracking.

Advertising and measurement

We advertise on Meta platforms (Facebook and Instagram). We use, or may use, the Meta Pixel and similar technologies on our website to measure the performance of our ads, understand how visitors interact with our site, and show relevant ads to people who have shown interest in us. This may involve cookies and similar identifiers. See Section 4 for details and how to opt out.

We do not knowingly collect sensitive personal information (such as government IDs, health, or financial account numbers) through our forms, and we ask that you not send it to us.

3. How we use your information

We use your personal information to:

  • respond to your inquiry and communicate with you about your request;
  • provide, schedule, and deliver the services or workshops you ask about;
  • send you follow-up communications and, where you've agreed, information about our services (you can opt out at any time);
  • operate, measure, and improve our website and our advertising;
  • prevent spam, fraud, and abuse and keep our systems secure (for example, our forms use a hidden anti-spam field); and
  • comply with our legal obligations.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising beyond the ad-measurement tools described in this policy.

4. Cookies and tracking technologies

We use a limited set of cookies and similar technologies:

  • Functional — a local-storage entry that remembers your theme preference. Required for the site to work as you set it.
  • Analytics — privacy-friendly, cookieless website analytics that measure aggregate traffic and performance. These do not identify you individually.
  • Advertising — where enabled, the Meta Pixel and related identifiers, used to measure our ad campaigns and to show relevant ads.

Most browsers also let you block or delete cookies through their settings.

5. How we share your information

We share personal information only with service providers who help us operate, and only as needed to deliver what you asked for. These include:

  • Notion Labs, Inc. — stores and organizes the leads and inquiries we receive (our CRM).
  • Vercel Inc. — hosts our website and provides privacy-friendly performance and traffic analytics.
  • Meta Platforms, Inc. — delivers and measures our advertising. When you submit a lead form through one of our Meta ads, Meta collects your information and shares it with us; Meta's own handling of your data is governed by Meta's Privacy Policy. For lead-ad data, we and Meta may act as joint controllers under applicable law.

We may also disclose information if required by law, to enforce our agreements, or to protect the rights, safety, and security of Orbit Group, our users, or others. We do not sell your personal information to third parties.

6. International data transfers

We are based in Canada, and our service providers (including Notion, Vercel, and Meta) may process and store your information in the United States and other countries. Where we transfer personal information across borders, we take steps to ensure it receives an adequate level of protection consistent with this policy and applicable law.

7. How long we keep your information

We keep your personal information only for as long as necessary to fulfil the purposes described in this policy — such as responding to you, providing our services, maintaining our business records, and meeting our legal obligations. When we no longer need it, we delete or anonymize it. You can ask us to delete your information at any time (see Section 8).

8. Your rights and choices

You can contact us at Alex@orbitgroup.io at any time to:

  • access the personal information we hold about you;
  • correct information that is inaccurate or out of date;
  • delete your information;
  • withdraw consent or unsubscribe from our communications; and
  • ask us to stop or restrict certain uses of your information.

We will respond within the timeframe required by law (generally within 30 days).

If you are in the EU/UK (GDPR): our legal bases for processing are your consent (for marketing and for submitting your details), our legitimate interests (responding to you, securing and improving our services, and measuring our advertising), and performance of a contract (delivering services you request). You may withdraw consent at any time, and you have the right to data portability and to object to or restrict processing. You may also lodge a complaint with your local data protection authority.

If you are in California (CCPA/CPRA): you have the right to know what personal information we collect and how we use and disclose it, to request access and deletion, to correct inaccurate information, and to opt out of the "sale" or "sharing" of personal information. We do not sell or share your personal information as those terms are defined under California law, and we will not discriminate against you for exercising your rights.

If you are in Canada (PIPEDA): you have the right to access and correct your personal information and to withdraw consent, subject to legal and contractual limits. If you have an unresolved concern, you may contact the Office of the Privacy Commissioner of Canada.

9. Security

We take reasonable technical and organizational measures to protect your information — including serving our site over HTTPS, keeping API keys and credentials server-side, and using anti-spam protections on our forms. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

10. Children's privacy

Our website and services are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we'll revise the "Last updated" date at the top of this page, and significant changes will be reflected here. Please review this page periodically.
